Responsibilities

As the Payroll Manager at Health Connect America, you will be responsible for overseeing and managing the payroll operations to ensure timely and accurate payroll processing. You will play a critical role in maintaining compliance with all federal, state, and local payroll regulations. Your primary duties will include managing the payroll team, processing payroll for all employees, and resolving any payroll-related issues. You will also collaborate with various departments to ensure payroll data integrity, implement and maintain payroll systems, and support audits and reporting. Your expertise will contribute to the overall financial health and employee satisfaction within our organization.

This is a Hybrid position.  You will work remotely Monday, Wednesday and Friday and will work in the Franklin, TN, office on Tuesday and Thursday.

  • Assist State Ops Leaders in reviewing and analyzing Payroll Analysis reports to monitor direct care staff productivity.
  • Create and provide meaningful reports to the State Ops Leaders to highlight productivity trends and patterns that may need to be addressed.
  • Assist the State Ops Leaders by reviewing and analyzing monthly and quarterly financial reports.
  • Create and provide meaningful reports, which show financial trends with the objective of consistently meeting or exceeding the budget’s overall bottom line.
  • Conduct periodic audits of electronic personnel files as requested and assigned, to ensure compliance.
  • Interface and work directly with HR Department, State Ops Leaders, Lead State Administrators, and Office Managers to resolve founded issues of noncompliance.
  • Assist State Ops Leaders in gathering information and completing applications for grants; new programs; and any new funding opportunities as requested.
  • Attend meetings and trainings at Corporate Office; regional offices; Grand Regional and state quarterly operational meetings; or attend meetings & trainings virtually as assigned and requested.
  • Provide executive level administrative support which may include planning for meetings and events; preparing materials for meetings and events; and setting up for meetings and events.
  • When requested, assist Corporate Credentialing staff with providing available information from EPF on licensed providers to ensure all licensed providers are enrolled and credentialed with MCOs and other payers as required; and credentialing is kept current.
  • Provide vision for overall global HRIS design and adapt the design to the organization’s strategic plans; continually assess system functionality and recommend enhancements to improve efficiency, controls, and service to users. Serve as the project manager on implementing system upgrades, including developing training plans, and providing training to system users.
  • Set up security roles for system users.
  • Oversee the garnishment process, including inputting information and informing affected employees and interfacing with garnishing entity as required.
  • Ensure 401(k) deductions are accurately entered into employee records.
  • Accurately process the semimonthly, biweekly, and weekly payroll roll up process for the Company.
  • Produce and prepare required payroll and data reports from the HRIS.
  • Manage the required month end, quarter end, and year end processes and reporting.
  • Assist in new hire onboarding process to include launching onboarding events and creating completed onboarding events to employee on HRIS/Payroll system.
  • Work with Ops Leaders, Lead State Administrators, and Office Managers to ensure new hire onboarding is completed in time for payroll processing.
  • Payroll processing and review:
    • Enter pay changes and terminations into payroll/HRIS system.
    • Review all regions’ payroll with particular attention to salary and pay calculations.
    • Ensure PTO matching on both payroll spreadsheet and approved PTO in Paylocity system.
    • Work directly with State Ops Leaders and Corporate Payroll/HR staff to resolve issues swiftly.
    • Enter/upload payroll information to process payroll each pay period.

Qualifications

  • Bachelor’s degree in a business field is preferred with at least 3 years of multi-state Payroll experience; or at minimum, an Associate’s degree with at least 5 years of experience processing multi-state Payroll
  • Experience building the strategy around the growth and development of the Payroll team
  • Experience in administration of an HRIS electronic system is required, experience managing Paylocity preferred
  • Experience with integrating employees attained through Mergers and Acquisitions and aligning payroll structures and schedules for acquired companies
  • Achievement of CPP or other relevant certification strongly preferred
